How Brightpath Clinics made seven systems one source of truth

Patient data was entered by hand into system after system, drifting out of sync. Now booking, EHR, billing, and reminders share one record — entered once.

01 — The problem

The same patient, typed in seven times

Booking, EHR, billing, reminders, intake forms — each held its own copy of the patient, kept in sync by staff exporting spreadsheets and re-uploading them. Data drifted, and reminders went to the wrong numbers.

Seven systems disagreeing about the same patient is a safety problem, not just an admin one.

02 — The build

One record, wired to everything

We made the EHR the source of truth and wired every other system to it by API, so a change in one place propagates everywhere — no exports.

W1

Pick the source of truth

Made the EHR canonical and mapped every field the other six systems needed.

W2

Wire the integrations

Connected booking, billing, reminders, and intake by API with the EHR at the center.

W3

Reconcile and monitor

Backfilled mismatches, then added monitoring that alerts on any record that fails to sync.

03 — The result

Entered once, correct everywhere

Staff enter a patient one time and every system reflects it instantly. The weekly export ritual is gone, reminders reach the right people, and the records finally agree.
